Founded and led by Katie Childers, Smart Girl Digital is on a mission to be the trusted marketing partner for senior living operators who want to implement thoughtful & strategic marketing technology into their sales process to increase inquiries, tours, and move-ins. Having served on both the agency and client side of corporate marketing, Katie has seen the need for businesses to hire someone who understands the business goals and can identify the right digital strategies to get the best results. As our client roster grows, we are looking for an operations pro to join our team to support our organization in providing top of the line marketing systems that get our clients results.

Overview of Operations + Project Manager Role
Reporting to the CEO, you’ll be responsible for leading and overseeing the day to day operations for Smart Girl Digital, an online marketing agency helping senior living leaders, communities, & teams leverage smart online strategies and marketing automation techniques to increase local visibility for families searching for senior living options.
- Time Commitment: 20 hours/week, within 9a-4p Central
- Compensation: $25-$30 per hour, based on experience
- Benefits: Flex work schedule, remote working, and unlimited unpaid time off
- Location: Anywhere in the United States – this role is fully remote.
- Status: This role is an EMPLOYEE/W2 role. You must be legally authorized to work as a W2 Employee in the United States.
Responsibilities
You will be responsible for:
Operations Management:
- Collaborating and communicating frequently with CEO to brainstorm solutions for client delivery
- Audit current systems, identifying gaps and proactively suggesting and implementing opportunities for automation
- Maintaining online systems daily, including but not limited to Asana, Slack, Honeybook, Google Suite and more
- Documenting and maintaining workflows to ensure repeatable processes
- Streamlining and improving operations as seems fit
- Execution of miscellaneous tasks and projects as needed to ensure smooth operations and client delivery
Project Management:
- Overseeing projects in Asana, following up on missed deadlines, and keeping projects on track
- Managing and overseeing team communication via Slack
- Observing new client kickoff calls, taking notes, and building out onboarding projects in Asana, offboarding clients, sending questionnaires
Account Management:
- Managing and nurturing client relationships with high touch and professionalism
- Keeping track of open invoices and following up with clients who are past due
- Having a general understanding of where clients are in the pipeline and ensuring projects are on time
- Onboarding new clients and ensuring they are set up for success
- Offboarding clients and sending feedback questionnaires
- Sending weekly updates to clients and acting as liaison between clients and the rest of the team
