Operations Coordinator at Proof to Product
Overview
We are hiring a Full-time Operations Coordinator to provide administrative, program and marketing support at Proof to Product. Reporting to the CEO, you’ll be responsible for supporting the daily operations of Proof to Product, including our leadership team, programs and communities.
- Time Commitment: Full time, 40 hours/week, flexible schedule
- Compensation: $50,000 annually

- Location: Must be in the United States – this role is fully remote.
- Status: This role is a full-time employee / W2 role. You must be legally authorized to work as a W2 employee in the United States.
Responsibilities
You will be responsible for:
Administration:
- Customer service & support
- Email management
- Calendar Management
- Organize company files
- Create & update existing SOP library
- Send thank you notes. Source & send gifts to clients, colleagues or team.
- Support billing / collections processes
- Updates to website (non-technical changes)
- Coordinate with contractors as needed
- Participate in weekly team meetings
- Provide back-up support for our Community manager
Program Support:
- Attend training calls on Zoom; take notes; document follow-up actions; upload videos to Dropbox & Mighty Networks.
- Facilitate community events on zoom (we’ll provide the agenda)
- Engage & monitor our online communities. Flag student questions for CEO to answer.
- Gather testimonials & document student wins to share
- Research industry news, trends & follow community members online so that we can share relevant articles & content with members
- Update & create FAQ templates
- Create program resources & social content (in Canva or Google Docs) and upload to community
- Assist with student onboarding & offboarding
- Coordinate guest experts & speakers including research, contracts & compensation
- Write & schedule emails in Convertkit
- Participate in sales cycle including tech set-up; testing check-out, scheduling emails and social posts; tracking post-launch metrics.
- Oversee client experience workflows
- Support with client satisfaction & retention
Marketing
- Create content repurposing workflows & processes
- Organize content database
- Repurpose & schedule content from CEO for newsletter, blog and social media
- Schedule emails in Convertkit and social media in Planoly
- Create graphics using pre-existing branded templates in Canva
- Participate in monthly marketing meetings
- Implement general marketing initiatives as needed

- You are resourceful and bring solutions.
- You have experience working in a service based business but also have an interest in the physical product space & learning about the brands and industry we work with.
- You have general marketing knowledge but are also excited to jump in and learn more!
