Erin Lindstrom International LLC is a company that supports online business owners through a blend of conscious sales and marketing strategy, high level coaching, and individualized consulting. We are hiring an executive and marketing assistant. The assistant will support the CEO in various aspects of the company. Primarily, the assistant is responsible for supporting with the backend of ongoing marketing projects, supporting with managing the group coaching programs, and leading weekly planning meetings with the CEO.

Overview of Assistant Role: 

Hours: Starting at 8-10 hours per week with room to grow

Compensation: $17-$22 per hour

Part-time Employee Position

Must be based in Virginia and eligible to work in the United States

This position is Remote with occasional in person travel possible (when it is safe to do so)

Executive Assistant Tasks: 

  • Email Management 
    • Keeping inbox tidy– organize using filters and sorting in gmail
    • Responding to emails
    • Reporting at meetings which emails need CEO’s attention
  • Calendar Management 
    • When bookings come in assist in getting them scheduled 
    • Light management of Calendly to make sure proper calendars have correct availability 
  • Personal Appointments  
    • Schedule doctors appointments and other appointments as needed
    • Assist with scheduling other appointments (ie contractors for the house) as needed
  • New Client Onboarding and invoicing  
    • Add client to Dubsado, send contract and invoice
    • Follow up as needed
    • Routinely make sure that all invoices are paid and follow up on late payments 
  • Weekly Meeting Leadership 
    • Create and maintain planning document
    • Lead call 
    • Check in with CEO about what’s needed
    • Anticipate needs of CEO/business 
    • Proactively look for opportunities/solutions 

Marketing + Misc Tasks: 

  • Video Management  
    • Take Zoom Coaching calls and upload on Youtube and Membervault (course platform) 
    • Create marketing content by taking clips from coaching calls and repurposing into audio grams or clip scribe 
    • Manage the storage of the videos 
  • Facebook Group Management 
    • Owner of recurring posts 
    • Sweep to make sure nothing is missed 
    • Creating events and reminders as needed
  • Podcast Management 
    • Can oversee the plan and coordinate moving pieces 
      • Book people for podcast with CEO directives 
      • Schedule email reminders
      • oversee production process 
        • Gets files to editor 
        • Organizes show notes
        • Gets marketing materials to guest 
  • Social Media Management 
    • Oversees editorial calendar 
    • Schedule for upcoming posts 
  • Content Repurposing and other marketing scheduling 
    • Schedule marketing emails into Active Campaign
    • Repurpose pre-existing content into blog posts, social media posts, and email newsletter content (eventually- after 90 days)
