Operations Coordinator
Overview
Reporting to the CEO, you’ll be responsible for jumping into and taking over the day-to-day operations of our business. You’re someone who is highly organized and empathetic, and you love the idea of supporting the details in a creative business. You’re looking for a business that is willing to invest in your growth and a position where you have a hand in cultivating a positive culture and handling the overall organization. You will be managing projects and business operations, so you know how to prioritize and communicate effectively so that everyone’s tasks are completed.
- Time Commitment: 15-20 hours/week
- Compensation: $19-23/hour
- Benefits: No health benefits at this time, but flexible time off and a healthcare app subscription (Headspace, Talkspace, etc.) will be included
- Location: This role is fully remote. Location in or around Miami is preferred, but not required. You must be located in the US.
- Status: This role is a part-time employee role. You must be available to be employed by our company and legally eligible to work in the United States.
Responsibilities
You will be responsible for general project management, including:
- Working closely with the CEO to manage projects and create realistic timelines
- Creating and delegating tasks to team members
- Managing projects in ClickUp or other project management software to stay on top of deadlines and ensure projects are completed on time
- Communicating with clients regarding the status of their projects and fielding any client questions
- Participating in the client onboarding process to take notes and ensure any necessary follow-up is completed
- Stepping into project processes and suggesting improvements as necessary to streamline processes
- Keeping projects organized and accessible to clients and team members
- Planning projects while taking other moving parts into consideration and scheduling tasks accordingly
- Managing communication between team members to ensure issues are resolved quickly and projects stay on their timelines
You will be responsible for general business operations, including:
- Organizing business and project documents and ensuring organization methods are communicated to the team
- Enforcing values and standards within the team
- Working with the CEO to plan business goals and set up processes to hit those goals
- Checking in on progress toward business goals and adjusting plans as necessary
- Creating, organizing, and maintaining SOPs
- Identifying gaps in processes and coming up with ideas to fill the gaps
- Holding team members accountable and providing support as needed
- Understanding business goals and keeping tabs on goal progress
- Setting up processes to facilitate onboarding and training of new team members
This could be you if…
- You have transferable project management and operations skills and experience (preferably in a creative field but not required)
- You love seeing projects from beginning to end
- You want to see clients and team members win, and love to work with companies who are passionate about what they do
- You have fantastic written and verbal communication skills
- You lead with compassion first and speak to people with intention and empathy
- You can explain unfamiliar processes to clients (for example, you can explain the web design process in a way that clients with no prior experience can understand)
- You’re very patient and know how to hold people accountable while also holding space for what they need
- You’re highly organized and have the ability to easily jump into new systems
- You are good at maintaining standards and creating processes
- You understand the creative process and are excited about working for a creative business
- You would be interested in co-working in person (if you are local to the Miami area)
- You want to work for a company you love and are excited about working with a diverse client load
