Now, we are looking for an Operations Coordinator to help with all of the operational aspects of the company and free up our CEO’s time and energy so that she can focus on scaling/growing the business. Does this sound like a dream to you? Keep reading!
Operations Coordinator
Overview
Reporting to the CEO, you’ll be responsible for handling and organizing the operational elements of the business. This includes scheduling and facilitating meetings as well as the client Q&As, in addition to handling the email and Facebook inquiries. You will be taking some of the responsibilities from the CEO so that she can focus her energy on the visionary aspects of the company while still trusting that the client deliverables will be met. You are someone who thrives in creating order and staying organized, and you’re excited to manage and coordinate launches as well as everyday scheduling.
- Time Commitment: starting at about 10 hours/week with room to grow
- Compensation: $35/hour
- Location: Anywhere in the United States – this role is fully remote.
- Status: This role is a part-time contractor role.
Responsibilities
You will be responsible for helping with client delivery, including:
- Managing the email inbox
- Responding to customer inquiries within 24-48 hour time frame
- Checking Facebook and answer any questions that come through on there
- Scheduling and coordinating student Q&As (including sending out the link to attend, taking question submissions, and scheduling the calls themselves)
- Attending Zoom calls to help support client questions and facilitate the call
- Timestamping coaching calls and uploading them to the course online
- Answering student/client questions in our Facebook group
- Collecting student and client testimonials to include in our database
You will be responsible for helping with team management, including:
- Coordinating and facilitating team meetings between CEO and other contractors
- Attending meetings and writing down minutes to be referenced later
- Managing the monthly schedule of tasks and calls
- Overseeing the process of anything needing to be outsourced (hiring, coordinating, and paying contractors to perform certain tasks)
- Setting up, coordinating, and attending team meetings as required
You will be responsible for launch management, including:
- Creating the project schedule for launches
- Checking in with the team and ensuring delivery on the launch plan
- Coordinating content and scheduling it in advance
- Working with the ads management team to coordinate launch dates
Specific availability requirements:
You will work with the CEO, Alma, to agree upon certain availability requirements, including:
- Being present at previously agreed-upon times on Wednesdays for Q&As
- Organizing, scheduling, and being present for team meetings
